Using Rowan with Zoom
Rowan is a scheduling assistant that works over email. Connect Zoom and Rowan will create the Zoom meeting itself when a time is agreed, move it when the meeting is rescheduled, and delete it when the meeting is cancelled.
Adding the app
- Sign in to Rowan at tryrowan.co with the Google or Microsoft account whose calendar you want Rowan to use.
- Open Settings, and find the Conferencing section.
- Select Connect Zoom. Zoom asks you to sign in and shows you exactly which permissions Rowan is requesting.
- Select Allow. You are returned to Rowan, and Zoom now appears as a conferencing option on your bookings.
Rowan is added from our site rather than installed from the Zoom App Marketplace, because the connection is made against your existing Rowan account.
Using the app
Set Zoom as your conferencing option in Settings, or pick it per meeting. From then on:
- Booking. Copy Rowan on an email thread, or share your booking link. When a time is agreed, Rowan creates a Zoom meeting on your account and puts the join link in the calendar invite and the confirmation email.
- Rescheduling. Rowan updates the existing Zoom meeting rather than creating a second one, so the join link everybody already holds keeps working.
- Cancelling. Rowan deletes the Zoom meeting, so no dead link is left behind.
What Rowan asks Zoom for, and why

Rowan only ever touches meetings it created for you. It does not read your recordings, your chat, or meetings made anywhere else.
Removing the app
Either route fully disconnects Rowan from Zoom:
- From Rowan. Settings → Conferencing → Disconnect. Rowan revokes the token with Zoom and deletes it from our database.
- From Zoom. Sign in at marketplace.zoom.us, open Manage → Added Apps, find Rowan and select Remove.
After removal Rowan can no longer create, change or delete Zoom meetings. Meetings already on your calendar are left alone, and your bookings fall back to whichever conferencing option you choose next. Removing Zoom does not close your Rowan account or touch your calendar connection.
Troubleshooting
- No Zoom option on a booking. Zoom is not connected yet, or it was removed from the Zoom side. Reconnect it in Settings.
- The meeting is at the wrong time. Check the timezone on your Rowan profile. Rowan sends Zoom an absolute UTC time, so a mismatch is almost always a profile setting.
- Something else. Write to us on the support page, or reply to any email from rowan@tryrowan.co.
