What Rowan does

Rowan is an AI scheduling assistant built by Applied Humanity Inc. Rowan helps schedule meetings by checking calendar availability, proposing times, and creating calendar events on behalf of its users.

Data we access

When you connect your calendar, Rowan accesses:

  • Google Calendar — free/busy information, event details, and the ability to create, update, and delete events (calendar.readonly, calendar.events scopes).
  • Google Calendar settings — read-only, and read once when you sign up, to pick up your timezone, default meeting length and whether you hide weekends, so Rowan does not have to guess them (calendar.settings.readonly scope). Rowan never changes your Google settings.
  • Microsoft Outlook — the same calendar access via Microsoft Graph (Calendars.ReadWrite scope).

Calendar access is the only access Rowan requests from Google or Microsoft. Rowan does not connect to your Gmail or Outlook mailbox, your contacts, or your files.

Rowan also works over email, and that email reaches Rowan by a separate route. Messages sent to a Rowan address, or messages on which Rowan is copied, are delivered to us by Resend and processed so that Rowan can reply and schedule. Rowan reads those messages alone. It has no access to the rest of your mailbox.

How we use your data

  • Check your availability to propose meeting times
  • Create, reschedule, and cancel calendar events on your behalf
  • Store OAuth tokens securely to maintain your calendar connection

We do not sell, share, or use your data for advertising. Calendar data is only used to perform scheduling actions you or your contacts request.

On free accounts, your booking pages and the emails Rowan sends carry a small Parafoil credit and a link to sign up. It is the same credit for everyone: it is not chosen using your calendar, your contacts, or anything else about you, and nothing about you is passed to anyone. Paid plans remove it and let you write your own email signature.

Google user data and Limited Use

Rowan's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We use Google user data only to provide and improve the scheduling features you asked for.
  • We do not transfer Google user data to third parties except as needed to provide those features, to comply with applicable law, or as part of a merger or acquisition.
  • We do not use Google user data for advertising.
  • We do not allow humans to read Google user data, except with your explicit consent for a support request you have raised, where it is needed for security purposes such as investigating abuse, or where the law requires it.
  • We do not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models.

Rowan sends the context of a scheduling conversation to Anthropic's Claude models so it can decide what to propose and how to reply. That processing happens through the Anthropic API to deliver the feature to you. Anthropic does not train its models on data submitted through the API.

Data storage

Your scheduling data is stored in a secured database hosted on Supabase (AWS infrastructure), encrypted in transit and at rest. The credentials that let Rowan reach your calendar are encrypted a second time, by us, before they are written — so they are unreadable even to someone holding a copy of the database.

Data retention

We retain your data for as long as your account is active. You can disconnect your calendar at any time from the settings page, which revokes Rowan's access and deletes your stored tokens.

Third-party services

  • Google Calendar API — for Google calendar access
  • Microsoft Graph API — for Outlook calendar access
  • Anthropic (Claude) — AI model that processes scheduling conversations. Not used to train models.
  • Resend — email delivery
  • Supabase — database and file storage
  • Railway — hosting. Rowan runs on Railway's infrastructure, so anything Rowan processes passes through it.
  • Stripe — payments, on paid plans only. Stripe handles your card details directly; we never see or store them. We hold the customer and subscription identifiers Stripe gives us.
  • Zoom — only if you connect it, so Rowan can create Zoom meetings for you.
  • Calendly and Cal.com — read only, and only when someone sends you their own booking link and you ask Rowan to find a time on it. Rowan reads the open times that page already publishes. Nothing about you is sent to them.

Cookies

Rowan sets a small number of cookies and they are all functional: one keeps you signed in, one remembers whether you are being shown prices in dollars or pounds, and one carries an invite code through sign-in. There are no advertising or tracking cookies, and we do not use an analytics service that follows you across other sites.

Your rights

You can request access to, correction of, or deletion of your personal data at any time by emailing us, and we will respond within 30 days. Disconnecting a calendar from the settings page revokes Rowan's access with that provider and deletes the stored credentials immediately. To delete your whole account and everything in it, email us and say so.

If you are in the UK or the EU, you also have the right to object to processing, to request a copy of your data in a portable form, and to complain to your local data protection authority.
